Having over 50 years of experience Capelle is an integrated solutions provider that helps companies achieve their potential in capability excellence. They specialise in Leadership and Service Excellence through consulting, learning and coaching. in fact, learning is a life long thing, be it learning how to cook, learning how to manage people or learning how to be a better leader. We are always capable of so much more, which is why RICE is keen to improve Capelle’s system.

They have engaged us to help them in regards to improvement in their operations and system.

 

 

These are some problems that Capelle approached us with 

Capelle was not able to make modifications in their self-developed system to include new requirements because of the run time of 10 years.

They also did not have a central filing system which cause inconsistency in the process. Because of this inconsistency, team members are unable to cover each others’ duties during urgent leave. Furthermore the system is not accessible outside of the companies’ network which made the admin team undertake overtime in the office to complete their work.

The assignment of work was done manually hence the work was not evenly distributed. The lack of integration, caused duplication of work. As well as more.

However, even though we saw this as a challenge, we are determined to provide a reliable and more efficient system for them to be able to run their processes much easier as a stepping stone toward their growth.

 

Our solutions

Firstly we sat down with the client to understand key business requirements based on business strategies in order to achieve a cohesive vision. Afterwards, we spelled out detailed requirements to validate what is needed to achieve the objective. Once we have the requirements highlighted clearly, we then developed a digital platform (IMS) to automate operational workflow, accessed by specific roles:

 

 

Admin module 

  • Course management which enables the Admin to create class event accurately using the course info created.
  • It is able to generate different documents in just one click (eg: attendance sheet, confirmation email, etc).
  • Vendor management enables PO generate to vendor directly  & keep record of order linked to class event which enables Finance to track spending for each class accurately.

 

Trainer module

  • Trainer management keeps record of all their trainers’ certification & availability. This quickens the process for admins to assign trainers to specific classes quickly and easily.
  • Resource management allows admins to monitor the classroom availability & usage at any time.

 

 

Finance module

  • Able to make accurate billing based on data inputted by Admin which quicken account receivable
  • Able to identify revenue & cash flow through report generated via management module
  • Management module
  • Able to generate admin report to ensure necessary processes are all completed for classes that had happened
  • Able to generate revenue report based on location, course, trainer, etc
